This Privacy Policy explains how AppraisalAPI collects, uses, stores, and shares information when you use the Service.
1. Scope
This Privacy Policy applies to information we collect through the Service, including through website uploads, result pages, emails, downloads, APIs, and related communications.
2. Information We Collect
Information you provide
We may collect:
- email address;
- uploaded files and documents, including appraisals and PDFs;
- API submissions and related content;
- communications you send to us.
Information we generate or derive
We may generate or derive:
- extracted appraisal fields and other Output;
- document fingerprints, hashes, duplicate-detection data, and metadata;
- logs, technical records, model inputs/outputs, and performance data;
- de-identified, aggregated, statistical, and derived data.
Automatically collected information
We may automatically collect:
- IP address;
- browser type, device type, operating system, and identifiers;
- usage information, page interactions, timestamps, referrers, and performance metrics;
- API usage data, authentication data, and request metadata.
3. How We Use Information
We may use information to:
- provide, operate, and maintain the Service;
- process Submissions and generate Output;
- deliver Output, downloads, and service-related emails;
- detect duplicates and return cached results;
- secure the Service, prevent abuse, investigate misuse, and enforce our Terms;
- debug, monitor, analyze, benchmark, and improve the Service;
- create and use de-identified, aggregated, statistical, and derived data for analytics, research, benchmarking, product improvement, and business purposes;
- comply with law, legal process, and governmental requests;
- protect our rights, safety, property, users, and others.
When processing appraisal documents, we extract and structure data into fields defined by third-party data standards (such as the BRAVE standard). This process involves transmitting document content to AI/LLM providers for field extraction. The extracted field names and categories are defined by the applicable data standard, not by AppraisalAPI. We do not share your appraisal data with the BRAVE standard maintainers or any third party beyond the AI providers used for extraction.
4. Third-Party Service Providers and AI Processing
We may use third-party providers to host, store, transmit, analyze, and process information on our behalf, including providers of cloud infrastructure, databases, email delivery, logging, analytics, OCR, document processing, and artificial intelligence or large language model services.
As part of providing the Service, we may send uploaded files, extracted content, prompts, metadata, and related information to such providers for processing, extraction, classification, transformation, storage, caching, debugging, or delivery.
We may change providers from time to time. Third-party providers process information under their own terms and policies.
5. Retention
We may retain information for as long as reasonably necessary to provide and improve the Service, operate the business, comply with law, resolve disputes, prevent fraud or abuse, enforce our agreements, support caching and deduplication, and protect our rights.
We generally do not intentionally retain original uploaded PDFs after processing, except for transient processing, security, abuse prevention, debugging, backup, legal compliance, caching, incident response, or similar operational needs.
We may retain Output, hashes, metadata, logs, technical records, and de-identified, aggregated, statistical, or derived data for longer periods, including indefinitely, subject to applicable law.
6. Sharing of Information
We may share information:
- with service providers and contractors that help us operate the Service;
- with legal, regulatory, or governmental authorities when required or appropriate;
- in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business or assets;
- in de-identified, aggregated, statistical, or derived form that does not identify you as the source of a particular Submission except as necessary to operate the Service, comply with law, protect our rights, or enforce our agreements.
We do not sell your individual appraisal PDFs or individual extracted appraisal records as standalone identified user data.
7. Communications
We may use your email address to send service-related communications such as result delivery, access links, support replies, security alerts, administrative notices, and legal notices.
If we later offer marketing emails and you opt in, you may opt out at any time using the method provided in those messages.
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. However, no method of transmission, storage, or processing is completely secure, and we cannot guarantee absolute security.
9. Your Choices and Requests
Subject to applicable law, you may request access to, correction of, or deletion of certain personal information we maintain about you by contacting us at help@appraisalapi.com.
We may retain information as required or permitted by law, for legitimate business purposes, for security and abuse prevention, to comply with legal obligations, to resolve disputes, or to enforce our agreements.
Deletion may not apply to de-identified, aggregated, statistical, or derived data, backups, logs, or information we are required or permitted to retain.
10. International Processing
Information may be processed and stored in the United States and other jurisdictions where we or our service providers operate. Those jurisdictions may have data protection laws that differ from those in your location.
11. Children
The Service is not directed to children under 18, and we do not knowingly collect personal information from children under 18.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version becomes effective when posted. Your continued use of the Service after the updated policy is posted constitutes your acceptance of the revised policy.
